Lebra allows you to schedule emails to send on a future date. This helps you prepare communications ahead of time and send them at the right moment. In this article, you'll learn how to schedule emails, view scheduled messages, and cancel them if needed.
Before You Begin
You must have your Outlook account connected and actively syncing with Lebra.
Email scheduling is available to all users with an active Outlook connection
You can only view and manage emails that you scheduled yourself.
If your Outlook connection stops syncing, you will see a warning banner, and the scheduling options will be unavailable until you reconnect.
Scheduling an Email
Navigate to an employee's page.
Click Send email to open the email compose window.
Write your email or select a template and edit the subject line as needed.
Click Send later in the bottom-right corner.
In the calendar dialog:
Select a date from tomorrow up to 30 days in advance.
The email will be sent at the current time of day on the date you choose.
Click Send later to confirm.
You'll see a confirmation message: "Your email has been scheduled!" along with the scheduled send date.
Viewing Scheduled Emails
Click your profile icon in the top-right corner of Lebra.
Select Scheduled from the dropdown menu.
You'll be taken to the Scheduled emails and notes page.
This page includes two tabs:
Upcoming — Emails scheduled but not yet sent. These display a pending status badge.
Completed — Emails that have been sent or cancelled. Sent emails display a sent badge, and cancelled emails display a cancelled badge
Each email entry shows:
Recipient name
Subject line
Status (pending, sent, or cancelled)
Scheduled date
Viewing Scheduled Email Details
On the Scheduled page, click the envelope icon next to an email.
A dialog will open showing:
From (your email address)
To (recipient name and email address)
Subject
Scheduled date and time
Current status
Full email content
Click Close to exit the dialog.
Canceling a Single Scheduled Email
Go to the Scheduled page (profile icon → Scheduled).
On the Upcoming tab, hover over the email you wish to cancel.
Click the cancel icon that appears.
Confirm the message: "Are you sure you want to cancel this scheduled email?"
You'll see: "Email cancelled successfully!"
Canceling Multiple Scheduled Emails
Go to the Scheduled page and open the Upcoming tab.
Use the checkboxes to select emails.
(Optional) Click Select All to choose every email in the list.
Click the Cancel button at the top of the list.
Confirm the cancellation
You'll see a summary message showing how many emails were cancelled.
Cancelled emails move to the Completed tab and will not be sent.
Important Notes
Time zones: Scheduled emails are based on your browser’s local time zone at the time of scheduling. If you travel or change time zones, the email will still be sent at the originally scheduled time.
Connected email required: Your Outlook account must remain connected and syncing. If syncing stops, you’ll see a warning banner with a Reconnect option. Emails already scheduled will still be sent by the email service.
No editing after scheduling: Once scheduled, an email cannot be edited. To make changes, cancel it and create a new one.
Scheduling window: Emails can be scheduled from 1 to 30 days in advance.
Already sent emails cannot be cancelled: If the email has already been sent, you’ll see: “This email has already been sent.”
Deleted recipients: If a recipient is removed from Lebra after scheduling, the email will still be sent to their email address. The recipient will appear as “Unknown recipient” on the Scheduled page.
Account removal: If your Lebra account is removed, all of your scheduled emails will be cancelled automatically.
Frequently Asked Questions
Can I schedule an email to send at a specific time of day?
Emails send at the current time of day when you schedule them. For example, if you schedule an email at 2:30 PM, it will send at 2:30 PM on the selected date.
Can I schedule an email to send today?
No. The earliest you can schedule an email is tomorrow. To send immediately, use Send email instead of Send later.
What happens if my email fails to send?
Lebra will automatically retry sending the email. If it still cannot be delivered after the retry period, it will be marked as failed.
Can I see emails scheduled by other users?
No. You can only view and manage emails that you scheduled yourself.
Can I reschedule an email for a different date?
Not directly. Cancel the original scheduled email and create a new one with the updated date.
