Lebra's handwritten notes feature allows you to send a real, physically mailed card to an employee's mailing address. Cards are written in a handwriting style and typically arrive within 5-10 days. You can send a card immediately or schedule it for a future date.
Each card uses one credit from your organization's available card credits.
Before You Begin
Handwritten notes must be enabled by your Lebra Administrator.
You can send notes if:
The feature is enabled for your entire organization, or
It is enabled specifically for your account.
You must set your sender (return) address before sending your first card. Go to Settings > General, then add your address right under the Address section of your profile.
If your organization has no remaining credits, you will see this message:
"Insufficient credits to send handwritten cards, please contact your Lebra admin to add additional credits."
Steps
Send a Card from an Employee's Profile
Navigate to the employee's profile page.
Click the action menu (⋮) in the upper-right corner of the profile header.
Select Send card.
In the Send card window, review and complete the following fields:
Recipient - Pre-filled and read-only
Send card to HQ - Appears only if enabled by your administrator. When turned on, the card is mailed to your organization's headquarters instead of the employee's personal address.
Address - Pre-filled if an address is on file. You can update it. Address suggestions appear as you type (U.S. addresses only).
A handwritten-style preview appears on the right
Write your message in the Body field:
Maximum 320 characters (character counter turns red if exceeded).
Maximum 6 line breaks (a warning appears if exceeded).
If your organization uses a card template, a note below the body field indicates which template will be used. Click the link to preview it.
Review the remaining card credits displayed at the bottom of the form.
Choose one:
Click Send card to send immediately.
Click Send later to schedule for a future date.
What Happens Next
After clicking Send card, you will see:
"Your card has been sent! The card will be sent to [address] and will arrive in 5-10 days. Your organization has [X] cards remaining.
After scheduling a card, you will see:
"Your card has been scheduled! The card will be sent to [address] on [date] and will arrive in 5-10 days. Your organization has [X] cards remaining."
How to View and Cancel Scheduled Notes
View Scheduled Notes
Go to the Scheduled emails and notes page from the profile menu in the top-right, under Scheduled.
Use the tabs:
Upcoming - Notes not yet sent
Completed - Notes already sent
Cancel a Scheduled Note
You can cancel a note as long as it has not been sent. To cancel a note:
Hover over it in the Upcoming list.
Click the cancel icon.
Confirm cancellation
Canceled notes are not sent, and their status updates accordingly.
Frequently Asked Questions
What if an employee does not have a mailing address on file?
You can manually enter an address in the Address field when composing the card. U.S. address suggestions appear as you type.
What if I have not set my sender address?
You will be prompted to add your address before sending. The prompt links to Settings > General, where you can add it under the Address section of your profile.
Can I send a card to headquarters instead of an employee’s home?
Yes, if enabled by your administrator. Turn on Send card to HQ when composing the card.
Can I customize the handwriting style?
If a custom handwriting style has been configured for your account, it is used automatically. The send window indicates when a custom style is active. Handwriting styles are configured by your administrator.
How far in advance can I schedule a note?
Up to 30 days in advance. The earliest date is tomorrow.
Can I send handwritten notes in bulk?
No. Notes are sent one at a time to individual employees.
How long does delivery take?
Cards typically arrive within 5–10 days after being sent.
Are handwritten notes visible to others?
Yes. They appear on the employee’s timeline and are visible to users in your organization who have access to that profile.
