Add an Informal Observation on Mobile

Learn how to record and manage informal observations using the Lebra mobile app.

Informal observations allow administrators and evaluators to quickly document notes about an employee's performance directly from their mobile device. These observations are lightweight and can be recorded at any time, such as during a classroom walkthrough or after a meeting. This guide explains how to create, edit, and manage informal observations in the Lebra mobile app.


Adding an Informal Observation

  1. Tap the Quick-Action (+) menu button on the home screen.

  2. Select Add informal observation.

  3. Select a person.

    • Tap Add person to open the people selector, then choose the individual you are observing. If you opened the form from a person's profile, this field will already be filled in.

  4. Set the date.

    • The current date is selected by default. Tap the calendar icon to choose a different date.

  5. Write your observation.

    • Tap the text area and enter your notes. This is the only required field.

  6. Add attachments (optional).

    • Tap the paperclip icon to attach files. You can choose from:

      • Take Photo - Capture a new image using your camera

      • Photo Library - Select an existing photo

      • Files - Attach a document (PDF, text, CSV, or Excel)

  7. Share with employee (optional)

    • Check Share with employee if you want the observation emailed to the employee after saving.

  8. Tap Save to submit the observation.

After saving, a confirmation message appears: "Informal observation added!"

If the share option was selected, the employee will receive an email notification, and the observation status will change to Shared with Employee.


Editing or Deleting an Observation

To view a saved observation:

  1. Go to the person's Profile.

  2. Tap the Observations tab.

  3. Select the observation you want to open.

From the observation detail view, you can:

  • Tap Edit to modify a Draft observation

  • Tap Delete to remove the observation

Sends an email notification to the employee and changes the observation status from Draft to Shared with Employee.


Best Practices

  • Record observations promptly. Capture notes as soon as possible while details are fresh.

  • Use attachments when helpful. Photos of student work, classroom setups, or other artifacts can provide additional context.

  • Start from the person’s profile. Opening the observation form from a person’s profile automatically fills in the person field.

  • Draft first, share later. Leave Share with employee unchecked if you want to review or edit the observation before sharing.

  • Keep file sizes manageable. Each attachment must be under 10 MB. Compress large files or images before uploading if needed.
