What is Bulk Print?

Bulk Print lets district administrators export Ascend evaluation records for many employees in one step. Instead of opening each staff member's profile and downloading records one at a time, you choose the people and the types of records you need, and Lebra generates a single report with every employee's records grouped together, sorted alphabetically by last name so it's ready to file.

Districts typically use Bulk Print to:

  • Close out the school year — print each teacher's complete evaluation packet for personnel files.

  • Prepare HR or board documentation — produce a full set of evaluation records for a building or the whole district.

  • Respond to audits and records requests — deliver a complete, organized document in one pass.

  • Capture records for departing staff — keep the full evaluation history for retiring or transferring employees.

Who can use this feature? Bulk Print is available to Lebra administrators in districts with the Ascend evaluation module enabled. You'll find it in the same Settings menu as your other Ascend configuration pages.

Step 1: Open Bulk Print

Go to Settings → Bulk Print.

Step 2: Choose the evaluation year

Use the Evaluation Year dropdown to pick the school year you want records for. It defaults to your district's current school year.

Step 3: Select groups, employees, or both

Groups in Lebra are how your staff are organized — typically school buildings, departments, or teams. Under Groups & Employees you can:

  • Select groups to include everyone in one or more groups (for example, everyone at Springfield Elementary School).

  • Select employees to add specific individuals — use the search box to find people quickly.

You can combine both. Group members and individually selected employees are merged into one list, and no one is included twice.

Step 4: Choose which sections to include

Toggle on the record types you want in each employee's packet. Everything is on by default — switch off anything you don't need.

Step 5: Generate the report

Click Generate Report. The button shows Generating… while Lebra gathers the records — for a whole building or district this can take a few moments, so keep the tab open.

A new browser tab opens with the finished report, and your browser's print dialog appears. Choose Save as PDF to create a file, or select a printer to print it directly.

Popups must be allowed. The report opens in a new window. If you see the message "Could not open the print window. Please allow popups for this site," enable popups for Lebra in your browser and click Generate Report again.

What the report looks like

One report, ready to file. Bulk Print produces a single combined document — not separate files per person. Employees appear in alphabetical order by last name, and each employee's packet starts with its own summary page, so the report is easy to split up for individual personnel files after printing.

The report contains:

  • A cover page with your district name, evaluation year, number of employees, and the date generated.

  • For each employee: a summary page showing their name, role, and a count of the items included in each section — followed by each record on its own page.

Good to know

  • Only finalized evaluations are included. The Evaluation Score Summary and Full Evaluation sections include summative evaluations that are completed or signed. Drafts and in-progress evaluations are never included.

  • Private notes stay private. Notes marked private are only included if you're the one who wrote them.

  • How the year is counted for notes and recognitions. These are included if they were created during the selected school year, which runs July 1 through June 30. For example, the 2025–26 evaluation year includes notes and recognitions created between July 1, 2025 and June 30, 2026.

  • Nothing is stored or sent. The report is generated on demand in your browser. It isn't saved in Lebra or emailed to anyone, and you can regenerate it any time.


FAQ

Do I get one PDF per teacher or one combined file?

One combined file, organized by employee. If you need a single teacher's evaluation as its own PDF, you can download it from that person's page in Ascend.

Can non-admin evaluators use Bulk Print?

No — Bulk Print is only visible to users with administrator access.

Can I print for the whole district?

Yes. Select every group in the groups dropdown (there's no separate "select all" button) and all staff will be included.

What if an employee has no records for a section?

Their summary page shows a count of 0 for that section. Empty sections are skipped in their packet, with one exception: if the Evaluation Score Summary section is on and the employee has no completed evaluation, the report includes a page noting that no completed summative evaluation was found for that year.

Why is an evaluation missing from the report?

Check its status — only completed or signed summative evaluations are included. An evaluation still in progress won't appear until it's finalized.
