Some staff genuinely do two jobs — a teacher who is also an instructional coach, a counselor who teaches a class. Lebra supports this directly: a person can hold two framework roles at once, a primary and a secondary, and each role runs its own complete evaluation cycle.
This article explains how the two-role model works everywhere in Ascend. It's worth reading before you assign anyone a second role.
Primary and secondary roles
Primary role — the person's main position. Every person with a role has exactly one primary role, and it's the default wherever a single role is needed (for example, the evaluator staff ID reported for state reporting's primary field).
Secondary role — an optional second position. It requires a primary role, and it can't be the same role as the primary.
A person's roles determine which evaluation framework — domains, standards, and rating scales — is used to evaluate them. A two-role person is evaluated against each role's own framework, separately.
Giving someone a second role
There are two ways to assign a secondary role:
One person at a time: open the person's profile, choose Edit, and set the Secondary Framework Role field below their primary Framework Role.
In bulk: on Settings > Pathways > Assignments, select people and open Bulk Assign Roles. The Primary role field reassigns primaries (if someone already holds the chosen role as their secondary, the two roles swap). The Secondary role field sets secondaries, replacing any current one; people whose primary is already that role are skipped.
What each role gets of its own
Each framework role a person holds carries its own:
Pathway — its own evaluation timeline, milestones, and On Track / Overdue / Completed status.
Evaluator — evaluators are assigned per role, so a two-role person can have a different evaluator for each role (or the same person covering both, assigned twice). There is no "all roles" evaluator.
Evaluation documents — observations, walkthroughs, self-evaluations, growth plans (PDPs), and summative reports are each recorded under a specific role and use that role's framework. Progress toward a role's pathway milestones counts only the evaluations completed under that role.
State reporting row — a two-role person produces one row per role, each with that role's evaluation type, results, and evaluator staff ID.
What stays per person, unaffected by roles: Reviewers, the person's profile and portal login, notes, recognitions, and follow-ups.
Where you'll see the difference
Pathways dashboard — a two-role person appears as one row per role, with the primary role marked (Primary). Each row shows that role's pathway, milestones, and status. The Evaluator filter matches the rows that evaluator covers.
Assignments page — one row per person; the Framework Role column lists both roles (primary first) and the Pathway and Evaluator columns show each role's own assignment. A Secondary role filter finds people by their second role.
Assignment modals — when a selection includes two-role staff, you choose which role slot the pathway or evaluator targets: Primary role (the default) or Secondary role.
Person page — evaluation tabs can be viewed per role, or under All roles to see everything together. New evaluations are created under a specific role.
Staff Portal — staff with two roles see a role filter on their milestones and one set of progress per role, and their evaluator card names the role each evaluator covers.
Changing or removing roles
Removing a role (the Unassign Role action) removes that role's pathway assignment, progress tracking, and evaluator assignment. Evaluations completed under the role are kept — they remain visible under "All roles" on the person's page and in historical reporting.
Removing someone's primary role promotes their secondary role to primary.
Correcting a wrongly-set role (replacing the role in place) carries the pathway and evaluator over to the corrected role.
History is preserved. Evaluation records permanently keep the role they were conducted under. Changing someone's role never re-frames their past evaluations against a different framework.
