Sync Status and Scheduled Roster Feeds

Check whether your district's scheduled employee file synced, what each status means, and why edits to synced details can be overwritten.

Some districts keep their Lebra roster up to date with a scheduled roster feed: your district sends Lebra an employee data file on a regular schedule, and Lebra updates your people from it automatically. This article explains how to check that the feed is working and what it means for editing people in Lebra.

Note: If your district doesn't have a scheduled feed, you won't see a Sync Status card. To add or update people in bulk, use Importing Your Roster with a CSV.


How a scheduled roster feed works

  • Your district (or its HR or payroll system) places an employee file where Lebra can pick it up.

  • On a set schedule, Lebra reads the file and adds new employees, updates existing employees' details, and archives people who are no longer in the file.

  • If the file includes departments, Lebra creates groups for them and adds people to those groups. Groups you create yourself are never changed by the sync.

The feed runs on Lebra's side. There's no button to run it again yourself — if something looks wrong, contact Lebra support.


Checking Sync Status

Steps

  1. Go to Settings > Organization.

  2. Find the Sync Status card at the top of the page. It shows the status of the most recent employee data sync.

  3. Check Last Synced for the date and time of that sync.

Note: The Organization settings page is only available to administrators.

The Status badge tells you how that sync went:

Success

The sync completed normally.

Nothing.

Partial

The sync ran, but not every change was applied. Most often, the file would have removed an unusually large number of people, so Lebra held those removals back as a safety check.

Check that your district's file is complete, then contact Lebra support.

Failed

The sync did not complete, so your roster wasn't updated.

Contact Lebra support.

No Files

No file was available to sync.

Check with whoever manages your district's file delivery.

Tip: If Last Synced is older than you'd expect for your schedule, treat it like a failed sync and contact Lebra support.


Editing people when your roster is synced

When your district has a scheduled feed, your district's file is the source of truth for the details it contains. The Edit person window reminds you of this with a note that your organization's employees are automatically synced.

  • Edits to synced details can be overwritten. If you change a detail that comes from the file (such as name, title, position, start date, or address) on a person's profile, the next sync can replace it with the value in the file. Make lasting changes in your HR or payroll system.

  • Archiving follows the file. People who leave the file are archived on the next sync. If you archive someone who is still in the file, the next sync can restore them.

  • Evaluation setup isn't synced. The feed doesn't assign framework roles, pathways, evaluators, or reviewers. Set those in Settings > Pathways > Assignments, and the sync won't change them.


Frequently Asked Questions

Can I run the sync again myself?

No. Scheduled feeds run on Lebra's side. If a sync failed or you need an update sooner, contact Lebra support.

I fixed someone's title in Lebra, and it changed back. Why?

The title comes from your district's file, so the next sync replaced your edit. Update it in your HR or payroll system, and the change will come through on the next sync.

A new hire isn't in Lebra yet. What should I check?

Check Last Synced and the Status badge first. If the latest sync succeeded after the person was added to your HR system, confirm they're in the district's file with an email address. If they still don't appear, contact Lebra support.
