If someone you expect to see is missing from Lebra, or you can see a person but not their evaluations, it usually comes down to one of a few settings. This article walks through them and tells you what to ask your Lebra administrator for.
1. Is the person on your roster?
Staff come into Lebra from your district's roster, through a CSV import or a scheduled data sync. If someone was hired recently, they may not have been imported yet.
Ask your administrator to check that the person is in the latest roster file or import.
If your district has a scheduled feed, an administrator can check Settings → Organization → Sync Status. See Sync Status and Scheduled Roster Feeds.
Archived people don't appear in active lists. An administrator can find them under Archived persons.
2. Who can see whom
If you are… | You can see… |
An Admin | Everyone in your organization. |
A Group Admin | Your admin tools, such as Ascend Analytics, cover the groups you're an admin of. Which profiles you can open depends on your district's setting (next section). |
An evaluator or reviewer | The people assigned to you, including their evaluations, even when your district restricts visibility. |
Any other user | Everyone in your organization, unless your district restricts visibility to groups (next section). |
Note: Seeing someone's profile isn't the same as seeing their evaluations. A person's evaluation tabs (such as Observations and Summative Evaluations) only appear for administrators, the person's assigned evaluator, and their reviewers.
3. Does your district restrict visibility to groups?
Administrators can turn on Restrict Visibility to Groups in Settings → Organization. When it's on, users who aren't administrators only see:
themselves,
people who share a group with them, and
people they evaluate, review, or coach.
If you aren't in any group, you'll only see yourself and the people assigned to you.
What to ask your administrator for
What you're seeing | What to ask for |
A new hire is missing for everyone | Check the roster import or Sync Status, and add the person if needed |
You can't see anyone at your school | Add you to your school's group, or make you a group admin of it |
You see some of your schools but not others | Make you a group admin of the missing schools' groups. See Group Admins & Group-Specific Goals. |
You can see a teacher but not their evaluations | Assign you as the teacher's evaluator or reviewer in Settings → Pathways → Assignments |
You lost access to a teacher you used to evaluate | You were probably unassigned as their evaluator. Ask to be added as a reviewer if you still need access. |
Tip: Not sure whether you have a login or just an employee record? See Users vs. People in Lebra.
